Conducting Business with Business Partners
For the purpose of executing contracts, we process the contact details of employees of our business partners (name, surname, job title, phone number, email address). The execution of business often includes after-sales or post-implementation activities (maintenance, complaints, etc.). The legal basis for processing this personal data is the supply contract.
Sending Emails to Business Partners’ Contact Details
We send emails to the business partners’ contact details with invitations to fairs where I.H.S. is represented. The legal basis for this processing is legitimate interest.

3. Transfer of Data to Third Parties and Transfer of Data to Third Countries
We do not transfer data to third parties or countries.
4. Retention Period of Personal Data
- Conducting Business with Business Partners: Data is retained for 10 years after the completion of the business transaction.
- Sending Emails: Data related to sent emails is retained for 2 years.
- Video Surveillance: Recordings are retained for a maximum of 1 month.
5. Rights of Individuals Regarding the Processing of Personal Data
Individuals have several rights related to their personal data. I.H.S. verifies the identity of the individual requesting information about his rights before exercising these rights. Individual must submit his request for information in writing to the email or postal address of I.H.S., provided in the first section of this policy.
I.H.S. fulfills justified requests within 1 month. However, in cases of complex requests or a large number of requests, this period may be extended by an additional 2 months. In such cases, I.H.S. will inform the individual about the extension and the reasons for it.
a. Right of Access: Upon request, we will inform the individual whether personal data is being processed in relation to him, and, if so, provide the following information:
- The types of personal data;
- The categories of recipients to whom the personal data has been or will be disclosed;
- The retention periods;
- The existence of the right to request correction or deletion of personal data or restriction of processing related to the individual, or the right to object to such processing;
- The right to lodge a complaint with the Information Commissioner;
- If the personal data was not collected from the individual, any available information about their source;
- The existence of automated decision-making, including profiling.
b. Right to Rectification: The individual can request at any time that I.H.S. corrects inaccurate data or completes incomplete data related to him.
c. Right to Erasure (Right to be Forgotten): The individual can request that his personal data be deleted in the following cases:
- The personal data is no longer necessary for the purposes for which it was collected or otherwise processed;
- The individual withdraws the consent on which the processing is based, and there is no other legal basis for the processing;
- The individual objects to the processing of personal data, and there are no overriding legitimate grounds for the processing.
d. Right to Restriction of Processing: The individual can request that the processing of his data be restricted in the following cases:
- The data is inaccurate;
- The processing is unlawful, and the individual does not want the data to be deleted;
- I.H.S. no longer needs the data for processing purposes, but the individual needs it for establishing, exercising, or defending legal claims;
- The individual has objected to the processing.
e. Right to Data Portability: The individual can request a copy of the data they provided to I.H.S., where the processing is based on a contract or consent and is carried out by automated means.
f. Right to Object: The individual can object to the processing of personal data. This right applies only to the processing of personal data based on a legitimate interest that overrides the individual’s interests.
g. Right to Lodge a Complaint Regarding the Processing of Personal Data: The individual can send any complaints regarding the processing of personal data to the addresses of the controller provided in the first section of this policy.
Additionally, any individual whose personal data is being processed has the right to lodge a complaint directly with the Information Commissioner if they believe that the processing of their personal data violates applicable laws.
6. Validity of the Policy
In addition to this privacy policy, the processing of data within a specific contractual relationship is also governed by the contract and terms that further regulate the particular contractual relationship.

2. How Do We Obtain Your Personal Data?
We obtain your personal data when you apply for a published job vacancy, either by submitting an online form or sending a written application to our address.
When applying for a job vacancy, we request the following personal data:
- Basic information (name, surname, date of birth).
- Contact details (email address, phone number, residential address).
- Education and work experience details (resume/CV).
3. Purpose of Processing Personal Data
Based on the applications received at I.H.S., we review your application in relation to the requirements for the specific job position. The most suitable candidates will be invited for personal interviews, and potentially for additional skill and knowledge assessments. If necessary, you may be referred for psychometric testing by our qualified contractual partner.
After the selection process, we will ask non-selected candidates if they wish to allow us to retain their application, including personal data, for potential future job opportunities. Applications from candidates who do not consent to retention will be deleted/destroyed.
4. Personal Data Retention Period
Personal data of candidates who consent to further processing after the selection process will be retained until the withdrawal of consent.
5. Who Processes Your Personal Data and Who Are They Shared With?
Authorized employees of the data controller and our contractual partners (data processors) as well as psychometric testing providers may have access to the personal data in the job applicant database at I.H.S.
I.H.S. carefully selects data processors, which is reflected in appropriate agreements regarding data protection in the data processing contracts.
6. Is There Automated Decision-Making, Including Profiling?
No.
7. What Are Your Rights Regarding Your Personal Data?
Under GDPR, the applicant has the right to:
- Access their personal data.
- Rectify or supplement personal data.
- Erase personal data when there is no longer a legal basis for retention or if you have withdrawn your consent.
- Data portability – in the case of personal consent.
The data controller will provide information on measures related to the processing of your personal data, taken at your request, in accordance with Articles 15 to 22 of the GDPR, without undue delay and in any case within one month of receiving the request. Exceptionally, this period may be extended by a maximum of two additional months, considering the complexity and number of requests. In such a case, the data controller will inform you within one month of receiving the request, along with the reasons for the delay. If you submit the request electronically, the data controller will provide the information electronically where possible unless you request otherwise.
